Deploying AI Tools In Your Small Business? Here’s What To Get Right (And Wrong)

Success in a narrow use case builds the case – and the internal buy-in – for wider rollout.

Don’t: Skip An Acceptable Use Policy

Employees will use AI tools whether or not you’ve approved them. Without clear guardrails, sensitive client data can end up pasted into a public chatbot with no audit trail. Before rollout, define:

  • what data is permitted for AI tools to see;
  • which tools are approved versus off-limits;
  • who is accountable for reviewing AI-generated output;
  • how vendor data-retention and training policies affect your compliance obligations.

Do: Loop In IT Before, Not After

Shadow AI adoption – employees signing up for tools on their own – creates the same risks as shadow IT always has: unmanaged access, unpatched integrations, and zero visibility. Involve your IT partner early so AI tools are vetted, permissions are scoped correctly, and access is deprovisioned when someone leaves.

Don’t: Treat AI Output As Fact

AI tools can be confidently wrong. Whether it’s a chatbot summarizing a contract or a model drafting a report, human review still matters – especially for anything client-facing or compliance-related.
